As a user of Lobbi.org we take your privacy very seriously. Here we outline what information we collect, how we collect it, and how you can manage any personal data we hold about you.

 

What Data We Collect

The personal data we collect from you will depend on the level at which you want to interact with the site. The most common information we request is to authenticate you and all users as unique and verified to vote using our services.

If you are a non-logged-in user:
  • Your Internet Protocol (IP) address
  • Details of which version of web browser you used
  • Information on how you use the site, using cookies. Please see our Cookies Guide for details about these and how to manage or remove them.

If you are a registered user:

  • Your Internet Protocol (IP) address country

  • Your date of birth

If you are verified user:
  • Your name & email
  • Your address
  • Third-party verified ID references (for example unique identifiers that enable us to connect your account to our secure payment processor Stripe, who handle and authenticate your secure card details so sensitive card data doesn't touch our servers)
  • A social media username (if connected)
  • Your profile picture or social media profile picture (if provided)
  • Your phone number (if provided)

If you are a nominee, candidate or public office holder:
  • Your full name
  • Your official email address
  • Your official address
  • Your party or organisation name
  • Comments, reviews and questions to you
  • A social media username
  • Your profile picture or social media profile picture
The legal basis for processing this data is for the purpose of journalism in the public interest in regard for the provisions set out in the Data Protection Act 1998 Part IV, Section 32 and the EU General Data Protection Regulation Article 85 and in accordance with our Public Interest Test.



Why We Collect It

We collect personal data primarily to ensure all users on Advote/Tapvote are unique, authentic individuals, who can be verified by third party ID to be resident in a local area, to ensure all votes are unique.

We also use your data to send email alerts to you to enable you to access and manage your account and data, or, if you have specifically requested for us to let you know for example when there is a vote in your area.

We also re-publish data about you if you have formally stood for election for a public role, or currently hold public office. In this case personal data will only be used where it is already in the public domain and it meets our Public Interest Test.

If you have a public social media profile, authenticated users can also use the service to recommend you for a public office. In this case your name, social media username and profile image are simply tagged from your existing public social media profile.

We use Google Analytics software to collect anonymised information about how you use our sites.

Google Analytics stores information about:

  • the pages you visit on this site
  • how long you spend on each page on this site
  • how you got to the site
  • what you click on while you’re visiting the site

We track this data to assess how the site is being used and how we can improve the functionality. We do not connect this usage data to your personal account

How Long We Keep It

We will only retain your personal data for as long as:

  • it is needed for the purposes set out in this document
  • the law requires us to

In general, this means that we will only hold your personal data for a minimum of 1 year and a maximum of 7 years.

How We Protect Your Data

We endeavour to design and maintain our systems to ensure that your data is as safe as possible at all stages, both while it’s processed and when it’s stored. Our servers and data stores all use industry-standard encryption with data transfer encryption on the connections you make when you connect to our site.

How We Handle Your Data With Third Parties

We will not:

  • sell or rent your data to third parties
  • share your data with third parties for marketing purposes

We will share your data if we are required to do so by law – for example, by court order, or to prevent fraud, abuse or other crime.

Where Your Data is Processed and How it is Stored

All your account data is stored in data centers in the EU maintained and run by Amazon Web Services under contract to Tapvote Ltd..

Sensitive card and payment data is handled and stored by Stripe our secure PCI DSS compliant card payment processor. Please see their privacy terms for full details.

Your personal data may, throughout the course of its processing, be transferred outside of the European Economic Area (EEA). Where this is the case, all appropriate technical and legal safeguards will be put in place to ensure that you are afforded the same level of protection as within the EEA.

Your Rights

You have the right to request:

  • information about how your personal data is processed
  • a copy of that personal data
  • that anything inaccurate in your personal data is corrected immediately

You can also:

  • raise an objection about how your personal data is processed
  • request that your personal data is erased if there is no longer a justification for it
  • ask that the processing of your personal data is restricted in certain circumstances

If you are a public office holder or candidate there may be cases where your personal data falls under the public interest journalism provisions that balance data protection with freedom of journalistic expression relating to public interest data subjects. If we believe this is the case we will make this clear in our responses to you, and none-the-less respond to and resolve your concerns as far as we can in a timely manner.

If you have an account you can update your details yourself any time by logging in and going to https://www.tapvote.org/myaccount/ to edit your details.

If you don't have an account or it's just easier for you, just contact us at data@tapvote.org to request any change.

Updates to this Privacy Notice

This notice was updated on 23rd May 2018. It may be updated to take into account changes in the services we provide or for example to reflect changes to regulation or legislation.

Updates to this notice will be posted on this page – please check back from time to time. We may inform you of any changes that may affect your data where we hold an appropriate email address for you.
